1. POSITION(S) VACANT: Executive Assistant, International Not-for-profit Organisation, New Delhi
2. ORGANIZATION BACKGROUND:
Our client is a respected, INPO, that works across the globe in the areas of sexual and reproductive health, with emphasis on safe childbirth.
3. JOB DESCRIPTION/ RESPONSIBILITIES:
Reporting to the Executive Director (ED), an expatriate, the EA-INPO shall be responsible for providing seamless, high-quality, executive and day-to-day administrative support, to the latter’s office. The post-holder shall need to a competent and mature professional, comfortable in working with top-level, senior managers and stakeholders and facilitating their daily working, in a range of areas:
Key Deliverables:
(1) Manage internal and external correspondence on behalf of senior management;
(2) Act as the point of contact between the manager and internal/ external clients;
(3) Screen and direct phone calls and distribute correspondence;
(4) Liaise with internal departments, answering calls, and making travel arrangements;
(5) Schedule appointments, maintain an events calendar, and send reminders;
(6) Maintain data, maintain databases, and keep records;
(7) Draft Preliminary correspondence on behalf of the senior management team;
(8) Organize regular meetings/ events, preparation of minutes of meetings, tracking of progress on planned issues, and follow up with focal points;
(9) Provide logistical and administrative, support in consultation with the senior team members;
(10) Provide support to the teams to develop and produce knowledge products, and maintain networks of knowledge institutions, academia, etc. for knowledge sharing;
(11) Perform any other relevant duties as may be required by the supervisor.
4. QUALIFICATIONS, EXPERIENCE AND COMPETENCIES:
Qualification:
(1) Applicants must be graduates in any discipline.
Experience:
(1) Atleast six to eight years of relevant experience in independently providing top-level, executive support;
(2) Similar experience with reputed multinationals, UN agencies, INGOs and/ or embassies is essential;
Skills and Competencies:
(1) Strong interpersonal and organisational skills;
(2) Proactiveness, emotional intelligence;
(3) Excellent knowledge of Word, Excel, Power-point, spreadsheet, database packages;
(4) Experience in handling of web-based management system;
(5) Strong written and verbal communication skills.
5. REMEUNERATION & PER DIEMS:
The gross remuneration budgeted for the position is attractive. The offer shall be commensurate with the qualifications, experience, and salary history, of the selected candidate.
